1. What these Terms cover
These Terms and Conditions govern access to and use of Kanbanify.org and related applications and services, including boards, tasks, chat, meetings, documents, file attachments, and reporting.
By using Kanbanify, you agree to these Terms. If you do not agree, do not use Kanbanify.
2. Who we are and how to contact us
Kanbanify is provided under the Kanbanify brand.

3. Eligibility and age requirement
You must be at least 16 years old to use Kanbanify.
If you use Kanbanify on behalf of an organisation, you confirm you have authority to bind that organisation to these Terms.
4. Other terms and policies that apply
These Terms apply together with:
- Privacy Policy
- Cookie Policy
- Data Processing Policy
- Any in product policies shown inside Kanbanify, such as export, retention, or security settings
If there is a conflict, the most specific terms for a feature will apply.
5. Accounts, registration, and security
5.1 You need an account to access Kanbanify. 5.2 Login is via email and password. 5.3 You must provide accurate information and keep it up to date. 5.4 You must keep your login credentials confidential and secure. 5.5 You are responsible for all activity under your account unless caused by our failure to apply reasonable security measures required by applicable law. 5.6 If you suspect compromise, contact support@kanbanify.org promptly.
6. Service model and access
6.1 Kanbanify is accessed through the Kanbanify.org website and related applications. 6.2 Kanbanify does not provide public workspaces, public boards, or public documents. Login is required to access content. 6.3 Kanbanify may evolve over time. Features may be added, changed, or removed as described in section 14.
7. Roles and workspace control
Kanbanify supports organisation workspaces. Your access depends on your role and permissions set by the workspace owner.
7.1 Definitions
- Customer or Workspace Owner means the person or organisation that creates or controls a workspace.
- End User means a person invited into a workspace.
- Admin means an End User granted administrative permissions in a workspace.
- Team Lead means an End User granted access to team reporting and related visibility as configured by the workspace.
7.2 Admin and Team Lead visibility
Admins and Team Leads can view linked chat, meeting details, documents, meeting summaries, and reporting data for tasks as part of the reporting workflow, to the extent enabled by workspace configuration.
7.3 Removal and content access
Admins can remove users and revoke access. If your access is revoked, your content remains in the workspace under the organisation, and you will no longer have access to it.
8. Messaging, meetings, encryption, and transcripts
8.1 Chat and meetings
Kanbanify supports chat and meetings. Meetings support both audio and video.
8.2 End to end encryption
End to end encryption is enabled by default for chat and meeting communications. This means content is designed to be readable only by authorised participants. Admin visibility for reporting relies on linked items and permitted access pathways configured by the workspace.
8.3 Meeting transcripts
Meeting transcripts are available only when an Admin enables transcripts for the workspace or for the relevant meeting feature. When enabled, transcripts and related meeting summaries may be stored in the workspace and may be referenced in reporting.
9. Reporting feature
9.1 Kanbanify includes reporting that allows Admins and Team Leads to generate progress reports for individuals or teams. 9.2 Time tracking is based on manual entry. 9.3 Reports connect tasks with related collaboration items such as chat, meetings, meeting summaries, and documents. 9.4 Reports can be exported in XLS and XLSX. Additional export formats may be introduced later.
10. User content, ownership, and licence
10.1 Your content
You retain ownership rights in content you upload or create, including tasks, messages, documents, summaries, files, and attachments.
10.2 Licence to operate the service
You grant Kanbanify a limited, worldwide, non exclusive, royalty free licence to host, store, process, transmit, and display your content only as needed to provide, secure, maintain, and improve the service and its features, including reporting, exports, backups, and support.
10.3 Rights to upload
You confirm you have the rights to upload and share any content you submit, including personal data of others where applicable.
10.4 Workspace visibility
Workspace members with appropriate permissions may access your content. Admins and Team Leads may access linked items for reporting as described in section 7.
11. Prohibited use
You must not use Kanbanify:
- In any way that breaches applicable law
- To upload or distribute malware, spyware, or harmful code
- To attempt unauthorised access to accounts, systems, or data
- To send spam or unsolicited promotions
- To post, upload, or share content that is unlawful, abusive, hateful, harassing, or discriminatory
- To infringe intellectual property rights
- To harm or attempt to harm minors
- To upload or share child exploitation content
- To upload or promote terrorist content or activities
- To interfere with service integrity, including denial of service activity
12. Moderation, enforcement, and legal requests
12.1 Enforcement
We may suspend, restrict, or terminate access if we reasonably believe you violated these Terms, created a security risk, or if needed to protect users and the service.
12.2 Organisation enforcement
Workspace Admins may also restrict or remove your access.
12.3 Legal requests
We may disclose limited information when required by law or valid legal process, or when necessary to protect rights, safety, and integrity.
13. Third party services and links
Kanbanify may include links or integrations with third party services. We are not responsible for third party services. Your use of those services is governed by their terms and policies.
14. Availability, changes, and discontinuation
14.1 As is and as available
Kanbanify is provided on an as is and as available basis.
14.2 Changes
We may change, suspend, or discontinue features for operational, security, or maintenance reasons.
14.3 Updates to Terms
We may update these Terms from time to time. If changes are material, we will provide notice through the service or by email.
15. Fees, pricing, and future commercialisation
Kanbanify is not currently offered with active checkout or payment processing.
Pricing plans may be introduced later. If introduced, additional terms about payment, renewal, cancellation, and refunds will be presented at the time of purchase and will apply to paid subscriptions.
16. Disclaimers
16.1 No guarantees
We do not guarantee uninterrupted service, error free operation, or that the service will meet all requirements.
16.2 Backups
You are responsible for maintaining backups of your content as appropriate for your organisation.
16.3 User generated content
We are not responsible for content posted by users. You may be exposed to content that is inaccurate or offensive. You use the service at your own risk subject to applicable law.
17. Limitation of liability
To the maximum extent permitted by law:
- We are not liable for indirect, incidental, special, consequential, or punitive damages.
- We are not liable for loss of profits, revenue, business, goodwill, or data.
- Nothing in these Terms limits liability that cannot be excluded under law, such as liability for death or personal injury caused by negligence, or fraud.
18. Termination
18.1 You may stop using Kanbanify at any time. 18.2 We may suspend or terminate access as described in section 12. 18.3 If you are an End User, your organisation may remove your access at any time. 18.4 After termination or removal, you may lose access to the workspace. Content remains in the workspace under the organisation, subject to retention settings and legal requirements.
19. Governing law and disputes
These Terms are intended for global use.
Where consumer protection laws apply in your location, those laws apply. Disputes should be brought in a competent court with jurisdiction over the parties, unless mandatory local law requires otherwise.
